This Privacy Policy explains how WorkConnex Australia handles personal information. It applies to job seekers, candidates, workers, employer and host clients, and visitors to our website at www.workconnex.com.au. Please read it together with our Terms & Conditions and Cookies Policy.
1. Introduction
WorkConnex Australia (WorkConnex Global Recruitment Pty Ltd, ABN 31 682 348 803) (“WorkConnex”, “we”, “us” or “our”) provides recruitment, labour hire, workforce management and payroll services across Australia, with a focus on the Trade & Construction, Healthcare & Aged Care, and Hospitality sectors.
We are committed to protecting your privacy and to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using our website or our services, you consent to the collection, use and disclosure of your personal information as described in this Policy.
2. Information We Collect
We collect personal information that is reasonably necessary for our recruitment, labour hire, workforce management and payroll functions. The information we collect depends on whether you are a job seeker, a worker, or an employer or host client, and may include:
- Full name, date of birth and contact details (email, phone, address)
- Resume / CV, employment history and references
- Qualifications, certifications, licences and tickets
- Police checks, NDIS Worker Screening and Working with Children Checks
- White Card, Responsible Service of Alcohol (RSA) and driver licence details
- Employment preferences, availability and right-to-work information
- Payroll, timesheet and banking information
- Employer, host and worksite information
When you visit our website, we may also automatically collect technical information such as your IP address, device and browser type, and how you use our pages, using cookies and analytics tools (see Section 13).
3. Employer Information
When an employer or host organisation engages us or submits an enquiry or staff request, we collect the business information needed to provide our services. This typically includes the company name and ABN, the names and contact details of authorised representatives, details of the roles and workforce required, worksite locations and work health and safety information, and billing and payment details.
We use this information to respond to staffing requests, supply suitable workers, manage assignments, issue invoices and maintain our commercial relationship with the client.
4. Job Seeker Information
When you register for work, upload a resume, or apply for a role, we collect the information needed to assess your suitability and place you into work. This includes your contact details, work history, qualifications, certifications, licences, references, employment preferences, availability, and the documents you upload to your candidate profile.
Providing this information is voluntary. However, if you choose not to provide certain details, we may be unable to register you, assess your suitability, or put you forward for particular roles.
5. Sensitive Information Handling
Some information we collect is “sensitive information” under the Privacy Act and receives a higher level of protection. In a recruitment and labour hire context this may include health information, criminal record (police check) information, and information relevant to mandatory eligibility checks.
We collect sensitive information only where it is reasonably necessary for our functions and where you have consented, or where the collection is otherwise permitted or required by law. We will always tell you why we need it, and we limit access to sensitive information to staff who require it to perform their role.
6. Resume & Job Application Data
Your resume, application materials and candidate profile form the core of the information we use to match you with suitable opportunities. With your consent, we may share relevant parts of your profile with prospective employers and host organisations.
We may retain your resume and application data so that we can consider you for future opportunities that match your skills and preferences, unless and until you ask us to remove it.
7. Healthcare & Screening Documents
For placements in healthcare, aged care and disability services, employers and regulators frequently require specific clearances and health-related documentation. Depending on the role, we may collect immunisation and vaccination records, pre-employment or fitness-for-work medical information, and professional registration details.
We treat this material as sensitive information, collect it only with your consent and only where required for a placement, and disclose it only to the relevant employer, host or regulatory body to the extent necessary for that placement.
8. NDIS / Police Checks
Many of the roles we recruit for require background screening before a worker can be engaged. This may include National Police Checks, NDIS Worker Screening Checks, and Working with Children Checks.
We collect and verify these clearances, record their status and expiry, and share confirmation with employers and host organisations that are legally required to confirm a worker holds the necessary clearances. Where a check is conducted by an accredited third-party provider, that provider handles your information under its own privacy obligations.
9. How We Use Information
We use personal information to operate our business and provide our services, including to:
- Register and verify job seekers, workers and employer clients
- Assess candidate suitability and match candidates to roles
- Supply labour hire workers and manage assignments
- Process timesheets, payroll, superannuation and related payments
- Conduct and verify background and eligibility checks
- Respond to enquiries, staff requests and job applications
- Meet our work health and safety, taxation and employment law obligations
- Improve our website and services and tell you about relevant opportunities
10. Sharing Information With Employers
A central part of our service is introducing job seekers to employers and host organisations. With your consent, we disclose relevant candidate information — such as your resume, qualifications, clearances and availability — to prospective and engaging employers so they can assess and engage you.
We share only what is relevant for the role, and we expect employers and hosts to handle your information in accordance with their own privacy obligations.
11. Workforce Placement Process
During a placement, we may exchange information with the host organisation to manage the assignment, including rosters, timesheets, conduct or performance matters, and work health and safety information such as incident reports. This exchange is necessary to coordinate the three-way labour hire relationship between you, WorkConnex and the host.
12. Payroll & Workforce Management Information
Where we provide payroll and workforce management services, we collect and process the information needed to pay workers and manage the workforce. This may include tax file numbers, bank account details, superannuation fund details, timesheet and attendance records, leave and entitlement information, and award or pay-rate classifications.
We handle financial and tax information securely, use it only for payroll and workforce administration, and disclose it only to bodies such as the Australian Taxation Office and superannuation funds, or as otherwise required by law.
13. Cookies & Tracking Technologies
Our website uses cookies and similar technologies to operate the site, remember your preferences, and understand how visitors use our pages. We also use analytics and marketing tools, including Google Analytics and the Meta (Facebook) Pixel, to measure website performance and the effectiveness of our advertising.
You can manage cookies through your browser settings. For full details, please see our separate Cookies Policy.
14. Third Party Services
We use trusted third-party providers to help deliver our services, including cloud hosting, applicant tracking and recruitment software, payroll and accounting platforms, background-screening providers, and analytics and marketing services. These providers may access personal information only to perform services on our behalf and are required to protect it.
15. Data Security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These steps include secure hosting, access controls, staff confidentiality obligations, and regular review of our systems. While we work hard to protect your information, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
16. Data Retention
We keep personal information only for as long as it is needed for the purposes described in this Policy, or as required by law. Employment, payroll and taxation records are retained for the periods required under Australian law. When information is no longer required, we take reasonable steps to destroy or de-identify it.
17. User Rights
Under the Privacy Act and the APPs, you have rights in relation to your personal information. These include the right to access the information we hold about you, request corrections, ask how we handle your information, and make a complaint. You may also withdraw consent to certain uses, although this may affect our ability to provide services to you.
18. Access & Correction Requests
You can request access to, or correction of, your personal information by contacting us using the details in Section 20. We will respond within a reasonable period and will verify your identity before releasing information. If we decline a request, we will explain why and how you can seek a review. We do not charge for making a request, although a reasonable cost may apply for retrieving extensive records.
19. Overseas Data Transfers
Some of our service providers may store or process information outside Australia. Where this occurs, we take reasonable steps to ensure your information is handled consistently with the APPs and remains appropriately protected. By providing your information, you acknowledge that it may be processed by such providers.
